Travel checklist: what to do before you leave
A packed suitcase is only one part of being ready. The useful questions come earlier: can everyone travel, who has the bookings, and how will you get from the arrival point to the first night’s accommodation? This checklist puts those decisions in order, from the first reservation to the last check at the door.

The short version
Check the trip, then pack the bag
Start with the documents and requirements for your route. Confirm bookings, costs and arrival arrangements, prepare access to essential information, and arrange anything that needs attention at home. In the final week, check the forecast and transport allowance, build your packing list and leave a short departure-morning checklist.
Give each task a deadline and a clear owner
Make one checklist for the trip and one personal list for each traveler. A shared booking can have one owner, but each person still needs to confirm their own details. Replace vague tasks such as “sort transport” with a result: “confirm the arrival station, last connection and hotel check-in time.”

| When | Priority | What counts as done |
|---|---|---|
| Before paying | Travel eligibility, budget and booking conditions | Everyone has checked their own requirements and agreed the actual cost. |
| Once dates are set | Reservations, arrival route and home arrangements | Confirmations are saved, responsibilities are assigned and the first night is workable. |
| About a week before | Forecast, baggage and personal supplies | The packing list matches the trip and any missing essentials can be arranged. |
| The day before | Live transport details and final confirmations | Changes are checked directly with providers and the arrival plan is ready. |
| Before leaving home | Items still in use and home handover | The final items are packed and the person helping at home has what they need. |
These are planning stages, not official application deadlines. A passport renewal, visa, accessibility arrangement or specialist appointment may need substantially longer. Start those checks as soon as you are considering the journey.
Check documents for every traveler and every connection
Use the destination and transit authorities’ current guidance for your nationality, residence status and route. Check required ID, passport validity, visas or travel authorizations and any documents needed for children. A requirement that applies to one friend may not apply to the rest of the group.
The U.S. Department of State’s international travel checklist is a useful starting point for U.S. travelers. It recommends checking destination requirements early and keeping document copies separately from originals. Travelers from other countries should also use their own government’s advice.
Keep sensitive copies in a secure place with access limited to the people who need them. A general group chat is a useful place for meeting times; it is not a reason to circulate everyone’s passport details. Copies help with preparation and recovery, but do not replace required originals.
Read each booking as part of the whole journey
Check the arrival date as well as the departure date, especially for overnight journeys. Match the airport or station to the accommodation route. Allow time to collect bags, change terminals or stations, and reach reception before it closes.

| Booking | Details to keep beside it |
|---|---|
| Flight, train, bus or ferry | Correct departure point, local date and time, allowance, check-in process and provider contact. |
| Accommodation | Address, guest count, bed setup, check-in window, access needs and late-arrival instructions. |
| Activities | Named participants, meeting point, entry time, equipment or clothing requirements and change conditions. |
| Luggage storage | Bag count and accepted sizes, opening hours, location, collection cutoff and booking terms. |
The FTC’s travel-shopping guidance advises getting cancellation and refund policies before paying and knowing which company you are buying from. Save those terms with the confirmation so a group decision is based on the actual booking.
For a late arrival, write down the fallback: a different connection, a provider contact or an agreed overnight option. Avoid making an ambitious first evening depend on every earlier connection running perfectly.
Prepare the things that keep a travel day working
Walk through the first day from home to the accommodation. You need a way to pay, communicate, navigate and access the things you personally depend on. Check mobile coverage or roaming with your provider and keep arrival information available without relying on a live connection.
Test access before leaving: open the saved booking, find the accommodation address and check that the correct charging cable is packed. Do not wait until arrival to discover that a confirmation can only be opened from an account you cannot sign into.
Finish home arrangements and build the right packing list
Arrange pet care, plant care, deliveries and any other commitments that continue while you are away. Give the person helping at home clear dates, contact details and the access they need. Confirm the handover rather than assuming a message has been read.
Then pack for your actual days, weather and activities. Include the outfit you will wear when counting clothing. Check the allowance for each transport booking and weigh or measure the finished bag where required. Use our weekend list, seven-day carry-on list or winter list for a concrete starting point.
The free packing list generator helps turn trip length and activities into a starting list. Review it against your own needs; a generated packing list does not check travel eligibility or booking conditions.
Keep the final morning checklist short
By departure morning, the large decisions should already be settled. Focus on things that changed overnight or were still in use. Put this short list near the bag, and leave enough time to act on a change.
If something is missing, decide whether it is essential for travel, needed on arrival or easily arranged later. Deal with the first category before setting off. A checked box is useful only when the task behind it is actually complete.
